Overview

Summary:
 
Assist in coordinating the Nursing Department processes and systems. Perform administrative and managerial support duties for the Director. Ensure proper standards and regulations are adhered to as set forth by Vinfen and state funding sources.

Responsibilities

Job Duties and Responsibilities:
 
The essential job duties/responsibilities of the position include, but are not limited to, the information listed below:
 
• Coordinate the flow and distribution of work: to include incoming communications and independently prioritize: refer to others, or self-respond as appropriate; track, inform, and follow up with Director, as needed.
• Facilitate internal APRN (Advanced Practice Registered Nurse) rounds and appointments including schedule, agenda, necessary paperwork, obtain lab results and share with Nursing staff and ensure all has been filed in record according to policy.
• Responsible for the quality and timely follow up with staff regarding the completion of all clinical, record keeping, and pertinent documents of person served. Prepare necessary documents and spreadsheet report and information. Maintain databases.
• Attend meetings and prepare and distribute meeting minutes.
• Coordinate the Peer Review Committee (PRC) including schedule, notification of team members, packet preparation including PRC face sheet; review all documents for accuracy, distribution of information, and submission to DDS.
• Generate medical consents, including maintaining master list of consent due dates.
• Maintain and update all Emergency Fact Sheets (EFS), including legal and medical updates upon admission and when any changes in status occur.
• Serve as liaison with Key Human Services, Inc. regarding on-call nursing services. Liaison updates agency fact sheet for each program, individual medical information, distributes on-call reports, maintains centralized records, and compiles data for analysis.
• Maintain and order medical supplies for the Nursing Department and programs.
• Distribute monthly nursing topics to all managers obtained through team input.
• Plan and coordinate meetings, as directed. Distribute nursing rounds schedule to all operations’ team members.
• Compose, edit, and distribute correspondence, memos, documents, and forms. Create nursing rounds red items report, distribute to team, and follow-up, as needed.
• Create medical binders for new individuals upon admission.
• Coordinate Hazmat pickups, as needed.
• Generate and distribute Individual Plan (IP) schedules monthly to all relevant team members.
• Maintain IP date database.
• Distribute Quarterly Nursing Assessments to all relevant parties.
• Serve as a trainer and super user for Cx360 Electronic Health Record (EHR).
• Assist in the annual organization of the flu clinic.
• Coordinate medication error process tracking and review. Submit quarterly medication error reports to DDS.
• Coordinate the new nurse training process to ensure completion of training checklist.
• Perform other Nursing Department related coordination duties, as directed.

Qualifications

Knowledge and Skills:
 
• Demonstrated knowledge of general health and wellness needs
• Ability to type at a minimum of 60 wpm
• Strong oral and writing skills
• Basic knowledge of overall nursing procedures and practices/expectations
• Knowledge of DDS Policies and procedures related to nursing expectations
• Ability to negotiate and solve problems
• Demonstrated ability to utilize Excel, Word, and other Microsoft applications
• Organizational, analytical, and communication skills
• Excellent record-keeping skills
• Ability to manage competing priorities
• Ability to work in a professional and confidential capacity

Typical Requirements:
 
A minimum of one to three years’ in an administrative support function required. A minimum of two years’ in a residential human services agency or healthcare setting preferred.
 
Preferred /Required Education:
 
High school diploma or equivalent required; Associate’s degree preferred.
 
Driving Requirements:
 
May be called on to drive for Vinfen using either a Vinfen van or personal vehicle. A valid driver's license must be presented at the time of employment. Incumbents must be at least 21 years of age, have maintained a valid US driver's license for at least one year, and must be able to pass a driver's screening background check. If driving, must maintain a safe driving record, which is subject to annual checks. If using a personal vehicle, must possess and maintain adequate insurance.
 
Physical Effort:
 
Ability to lift at least 25 pounds using proper lifting techniques. Ability to operate a computer and other office equipment. Ability to remain in a stationary position 50% of the time as needed. Ability to bend, reach, file, sit, stand and move around the facility. Ability to speak, hear and communicate with clients, staff and external representatives. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Pay Range

USD $56,000.00 - USD $56,000.00 /Yr.
