Overview

The IT Project Coordinator coordinates, advances, and monitors IT projects across sub-disciplines
and champions the organizational and time-sensitive aspects of projects under the supervision of
project leadership. He or she conducts analytical and organizational research as well as next steps
to move projects forward. He or she creates and interprets reports and research tools to assist in
decision making. The Project Coordinator is responsible for working with project teams and
individual staff, as required, to identify and address project issues and concerns and to bring those
which he or she cannot resolve to the prompt attention of both the Project Sponsor and Project
Manager. He or she ensures that functional project teams are administratively supported, and that
feedback is gathered and provided to team members on all deliverables.


Essential responsibilities of the position include but are not limited to the information listed below:

 

* Facilitates project activities by scheduling meetings, taking notes, tracking status, and coordinating
feedback from key SME's.
* Maintains IT Department information such as project calendar, schedule, and contact information.
* Coordinates with Vinfen project staff to support the development of implementation plans and
strategies including, but not limited to, communication, training, roll-out, and cut-over plans.
* Provides written and verbal updates to the Project Sponsor (PS) and/or CIO on a consistent basis
including unresolved issues, roadblocks affecting timelines, etc.
* Keeps projects on track and organized through follow up with all stakeholders.
* Works with PS and CIO to ensure project member assignments are clear and understood.
* Works with PS and CIO to track progress and to convey status updates.
* Creates project documents as required, including, but not limited to presentations, status reports,
bulletins, banner messages, agendas, meeting minutes and action items, project plans, and basic
training materials.
* Participates in and supports other related project activities assigned by the PS, PM, or CIO.
* Perform other related duties, as required.
