Overview

We are seeking an Executive Assistant to perform administrative and managerial support duties for Vinfen's Chief Financial Officer.

 

Primary Responsibilities will include:

  • Coordinate office communications: receive, record, and forward telephone messages; receive and distribute paper and electronic mail; send, receive, and distribute faxes
  • Coordinate the flow and distribution of work: screen all incoming communications and independently prioritize; refer work to others, or self-respond as appropriate; follow up, document, and inform supervisor on work in progress
  • Prepare word and spreadsheet reports and Transcribe documents from recorded dictation. Maintain databases.
  • Set up and maintain files, copy documents, and oversee recordkeeping efforts.
  • Compose, edit, and distribute correspondence, memos, documents and forms.
  • Attend meetings and prepare minutes.
  • Maintain the calendar of supervisors and/or others, as directed.
  • Plan and coordinate meetings, including scheduling among participants, preparing agendas, obtaining equipment and materials, arranging meals, travel, and lodging, as required.
  • Process documents and transactions specific to the department; track and report on expenses and other statistics.
  • Independently execute research related to the supervisor's area of responsibility: work with supervisor to determine project parameters; gather data, screening to determine what is appropriate/correct and what is not; propose and implement presentation format; prepare report(s), including data analysis and narrative; work with supervisor to prepare final report.
  • Provide support for other areas, as requested. Serve as backup to the Sr. Executive Assistant. As necessary, provide direction and supervision to others on shared work projects and coordinate the provision of temporary help when needed.
  • Serve as a resource for clients, families, and outside agencies requesting information, as well as for Board members, community, and professional
  • Serve on committees and teams, as a member or in a leadership role, as requested.
  • Greet and direct visitors.
  • Perform other duties as required

Qualifications

Seven to ten years' experience in an administrative support function. In some instances, experience may be substituted for academic training.

  • Ability to compose routine correspondence
  • General knowledge of personal computer applications and equipment
  • Specific knowledge of Microsoft Office (including Word, Excel, and Access, Outlook), Vinfen's internet access applications, and department-specific applications
